Oxford AI Lab ("we", "us", "our") provides intensive AI education programmes delivered in Oxford, United Kingdom and online. Our programmes are not a programme of, or formally affiliated with, the University of Oxford. Teaching takes place in University of Oxford college venues under standard hire agreements.
By submitting an application or making a payment, you agree to these terms. A place on a programme is reserved upon receipt of full payment. We will confirm your place via email within 48 hours of receiving payment.
All payments are made via bank transfer to the account details provided on our payment page. Payments must be made in GBP (British Pounds). The organiser is not VAT-registered; accordingly, no VAT is charged and no VAT invoice can be issued.
Cancellations made more than 30 days before the programme start date will receive a full refund minus a £50 administration fee. Cancellations made 15–30 days before the start date will receive a 50% refund. Cancellations made fewer than 15 days before the start date are non-refundable. We reserve the right to cancel or reschedule a programme due to insufficient enrolment or circumstances beyond our control, in which case a full refund will be provided.
We reserve the right to make reasonable changes to programme content, schedule, tutors, or venue if necessary. We will notify participants of any significant changes as soon as reasonably possible.
All course materials, slides, and resources provided during the programme are the intellectual property of Oxford AI Lab and its tutors. Participants may use these materials for personal learning purposes but may not reproduce, distribute, or sell them without written consent.
Oxford AI Lab provides education services only. We are not liable for any indirect or consequential losses arising from participation in our programmes. Our total liability shall not exceed the programme fee paid by the participant.
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the English courts.
When you contact us, apply, or enrol in a programme, we may collect: your name, email address, phone number, age (for student programmes), organisation name (for group bookings), and payment receipt. We also collect website usage data through standard analytics.
We use your data to: process applications and bookings, communicate with you about your programme, send programme-related updates, and improve our services. If you subscribe to our newsletter, we will send occasional updates about new cohorts and AI education content. You can unsubscribe at any time.
We do not sell your personal data to third parties. We may share your data with: our venue providers (e.g., Wolfson College) for booking purposes, our teaching team for programme delivery, and our technology providers (Supabase, Vercel) who process data on our behalf under appropriate data processing agreements.
We retain your personal data for up to 3 years after your last interaction with us, or as required by law. You may request deletion of your data at any time by contacting us.
Under UK GDPR, you have the right to: access your personal data, rectify inaccurate data, request deletion of your data, restrict processing, data portability, and object to processing. To exercise any of these rights, contact us at team@oxailab.com.

Oxford AI Lab is committed to the safety, welfare, and protection of all children and young people participating in our programmes. This policy applies to all programmes involving participants under the age of 18.
All tutors, staff, and volunteers who have direct contact with children and young people on our programmes hold a valid Enhanced DBS (Disclosure and Barring Service) check. A DBS-checked member of staff will be present at all times during programme activities involving participants under 18.
Participants under 18 must be accompanied by a parent, guardian, or designated responsible adult at all times during the programme, unless the parent or guardian has provided written consent for independent participation. For group bookings, the partner organisation must provide at least one designated responsible adult per group, who will remain on-site throughout the programme.
All staff and tutors are required to: treat all young people with dignity and respect; avoid being alone with a child in a closed room; never use inappropriate language or behaviour; report any concerns about a child's welfare immediately to the programme coordinator; and maintain professional boundaries at all times.
Photographs or videos of participants under 18 will only be taken and used with prior written consent from a parent or guardian. Participants' images will not be shared on social media or marketing materials without explicit consent.
For online programmes involving participants under 18: sessions are conducted on secure, password-protected platforms; sessions are not recorded without prior consent; participants are advised not to share personal information in chat; and a DBS-checked staff member monitors all online sessions.
If any staff member, tutor, or participant has a concern about the welfare of a child, they should report it immediately to the Programme Coordinator. In cases where a child may be at risk of harm, we will follow the procedures set out by the Oxford Safeguarding Children Board and, where appropriate, contact the relevant authorities.

All programmes held at University of Oxford college venues comply with the college's own safeguarding policies, fire safety regulations, and health and safety requirements. Event organisers ensure parental or designated adult supervision of all participants under 16, in accordance with venue requirements.
This safeguarding policy is reviewed annually and updated as necessary to reflect changes in legislation, best practice, or organisational structure.
